What we review every week
The weekly cycle covers five areas.
Send performance looks at open rates, reply rates, and bounce rates across every active sequence. We are looking for anything that has moved meaningfully in either direction since the previous week. An open rate that dropped sharply suggests a subject line problem or a deliverability issue. A reply rate that climbed tells us something in the sequence is resonating more than before.
Sequence health checks whether each step in the active sequences is performing as expected. If a particular step is consistently getting no engagement we flag it for rewrite. If a step is generating most of the replies we look at why and apply that learning elsewhere.
List quality monitors bounce rates and flags any contacts that need to be removed, re-enriched, or updated following job changes or other signal updates. This feeds directly into the list refresh process.
Reply handling reviews the responses that came in during the week. Positive replies get routed to your sales team with context. Neutral replies get a follow-up response where appropriate. Opt-outs and negative replies get processed immediately and logged.
Infrastructure health checks deliverability signals across your sending domains and inboxes. Reputation scores, inbox placement rates, and any flags from major providers. If anything looks like it is moving in the wrong direction we investigate before it affects results.
What we change and what we leave alone
Not everything gets touched every week. Changing too many things at once makes it impossible to understand what is driving any change in performance.
We follow a simple rule. If something is working we leave it alone and look for opportunities to replicate it elsewhere. If something is underperforming we identify the most likely cause, make one change, and give it enough time to produce meaningful data before drawing a conclusion.
The weekly review tells us what to look at. The A/B testing process tells us what to change and how to measure it. The two work together rather than separately.
How improvements compound over time
The first version of any campaign is built on assumptions. By week four it is built on two weeks of real data. By month three it is a refined system that has been adjusted based on hundreds of real interactions with your target audience.

A/B testing is a structured experiment with a hypothesis, a variable, and a controlled measurement process. Weekly optimisation is the broader review that decides which tests to run, monitors everything outside of active tests, and makes smaller tactical adjustments that do not need a full test to validate. The two work together as part of the same cycle.
Do we need to approve every change?
Small tactical changes such as adjusting the timing between sequence steps, removing a contact whose email bounced, or pausing a sequence step with consistently low engagement do not require approval. Copy changes, new sequence variants, and any change to the targeting criteria do go through a review before they are activated.
What happens if performance drops significantly mid-campaign?
A significant drop in performance triggers a more thorough diagnostic process rather than the standard weekly review. We treat it as a priority issue, identify the cause quickly, and communicate what happened and what we are doing about it before the next send cycle runs.
